Privacy Policy
Effective date: July 16, 2026. This Privacy Policy explains how Velocity Unified Communications Inc. (“VUC,” “we,” “us”) collects, uses, shares, and protects information when you visit vucinc.com (the “Site”), communicate with us, or use our services. For the agreement governing VUC communications services and devices, see our Customer Terms and Conditions of Service.
1. Information we collect
Information you provide to us
- Contact and inquiry forms. When you submit our contact, sales inquiry, or strategy session request forms, we collect the information you enter — typically your name, work email address, phone number, company, and the contents of your message.
- Technology Readiness Assessment. If you take our online assessment, we collect your answers and scores. Providing your name and email is optional and only required if you request an emailed report.
- AI Solution Advisor. If you use the “Ask VUC” advisor on the Site, we process the questions you type in order to answer them. Please do not enter passwords, account numbers, health information, or other confidential details in the advisor. We retain a limited, redacted log of questions (with email addresses, phone numbers, and card-like numbers automatically masked) for quality review — see Section 5.
- Communications. When you email, call, or text us, we collect the contact details and content of those communications.
- Customer account information. If you become a VUC customer, we collect the account, billing, and service information described in the Customer Terms and Conditions of Service, including contact details, service addresses (required for E911), and payment card information processed through our billing providers.
Information collected automatically
- Usage and device data. Like most websites, we automatically receive certain information when you visit the Site: IP address, browser type and version, device type, operating system, referring pages, the pages you view, and the dates, times, and duration of your visits.
- Cookies and similar technologies. We use cookies, pixels, and similar technologies to operate the Site, remember your preferences, and analyze how visitors use the Site — see Section 2.
- Server and security logs. Our hosting and security systems keep standard technical logs used to protect the Site and diagnose problems.
2. Cookies and analytics
We use cookies and similar technologies for the following purposes:
- Essential cookies — required for the Site to function (for example, security, form submission, and load balancing). These cannot be switched off.
- Analytics and behavioral cookies — help us understand how visitors find and use the Site (pages visited, time on page, navigation paths, approximate location at the city level, and device characteristics) so we can measure performance and improve content, navigation, and services. We may use analytics services such as Google Analytics for this purpose; these providers set their own cookies and process usage data on our behalf.
- Functional cookies — remember choices you make (such as dismissing a notice) to improve your experience.
You can manage cookies through the cookie notice presented on your first visit and at any time through your browser settings, which allow you to refuse or delete cookies. If you disable cookies, parts of the Site may not function properly. Where analytics tools offer them, you may also use opt-out mechanisms such as the Google Analytics opt-out browser add-on. The Site does not currently respond to “Do Not Track” browser signals, but treats applicable opt-out preference signals as required by law.
3. Communications, email, and SMS/text messaging
Email. If you submit a form or otherwise give us your email address, we may send you transactional and service emails (for example, responses to your inquiry, assessment reports you request, or service notifications). If we send marketing email, every message will include an unsubscribe link, and opting out of marketing does not affect service communications.
Phone. If you provide your phone number, we may call you about your inquiry or your services. We do not use autodialed marketing calls.
SMS/text messaging. By providing your mobile number and opting in to text messaging, you consent to receive service-related and account-related text messages from VUC (for example, appointment confirmations, service updates, and support follow-ups). Message frequency varies. Message and data rates may apply. Consent to receive text messages is not a condition of purchasing any goods or services. You can opt out at any time by replying STOP to any message, and reply HELP or contact service@vucinc.com or 877-676-3282 for help. Mobile carriers are not liable for delayed or undelivered messages. We do not share your mobile number or SMS consent with third parties for their own marketing purposes; text messaging originator opt-in data and consent will not be shared with any third parties, except for vendors and service providers who assist us in delivering text messages.
4. How we use information
- Respond to your inquiries and requests, schedule consultations (each request is reviewed and confirmed by a person), and provide proposals;
- Provide, operate, secure, bill, and support VUC services, including E911 location registration required for voice services;
- Deliver assessment results and reports you request;
- Operate and improve the Site, including analyzing user behavior and measuring the performance of pages and content;
- Send service, security, and administrative communications;
- Market our services, where permitted, with the ability to opt out;
- Detect, prevent, and respond to fraud, abuse, and security incidents (including rate-limiting automated abuse);
- Comply with legal obligations and enforce our agreements.
5. AI Solution Advisor
The “Ask VUC” advisor answers questions using VUC’s own published service information. Your questions are processed by our server and a third-party AI provider under contract with us solely to generate the answer; they are not used by the provider to train its models under our agreement. We keep a limited quality-review log in which email addresses, phone numbers, and card-like numbers are automatically redacted before storage; the log contains no IP addresses and is not connected to website analytics. 6. How we share information
We do not sell your personal information. We share information only with:
- Service providers that help us operate — website hosting, email delivery, form processing, payment processing, customer/PSA systems, analytics providers, and the AI provider supporting the advisor — under agreements limiting their use of your information to providing services to us;
- Emergency services — for voice customers, your registered name and address are shared with parties involved in routing 911 calls, as described in the Customer Terms and Conditions of Service;
- Legal and safety — in response to lawful requests, subpoenas, or court orders, to protect our rights and property, or where disclosure may prevent imminent harm;
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.
7. Data retention
We keep personal information only as long as needed for the purposes above: inquiry and form records for as long as needed to respond and maintain our business relationship; customer records for the duration of service plus periods required for billing, tax, and legal obligations; advisor quality logs on a short rolling basis; and analytics data per the retention settings of our analytics provider. We delete or de-identify information when it is no longer needed.
8. Security
We use administrative, technical, and physical safeguards appropriate to the nature of the information, including encryption in transit (HTTPS), access controls, multi-factor authentication for administrative access, and monitored backups. No method of transmission or storage is completely secure; if we learn of a breach affecting your personal information we will notify you as required by law.
9. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of the personal information we hold about you, and to opt out of certain processing. Texas residents have rights under the Texas Data Privacy and Security Act. To exercise any right, contact service@vucinc.com or call 877-676-3282; we will verify your request and respond within the time required by applicable law. You will not be discriminated against for exercising your rights.
10. Children
The Site and our services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
11. Third-party sites
The Site links to third-party services — including our customer, payment, voice, and remote support portals and manufacturer resources. Those services have their own privacy policies, and this policy does not apply to them.
12. Changes to this policy
We may update this policy from time to time. The effective date above reflects the latest revision, and material changes will be posted on this page. Your continued use of the Site after changes are posted constitutes acceptance of the updated policy.
